The challenge
An industrial company specializing in the manufacture of custom metal solutions needed to improve their process to generate commercial offers.
They had a manual and tedious process: using two different Excel spreadsheets, each with complex calculation logic, duplicated databases and no automated updates between versions.
They also had more than 2.000 past offers, which were difficult to consult, and lacked a versioned price record.
This situation led them to identify the need to automate this process.
What we did
Through a two-session, one-to-one ‘Learning by Doing’ consulting program, we guided the client in building together, using Claude, a web app that generates commercial offers.
The goal was to deliver practical sessions where we could work on a real business case. From there, we:
- Analyzed and documented the existing process
Drawing on the existing process and Excel spreadsheets, we identified business rules, formulas, and all the elements involved (price tables, hours, and other assessment criteria).
- Centralized business knowledge
We designed a unified data model, with a database in Supabase using Postgres and Row-Level Security from day one, to bring together all the information: clients, offers, materials, prices, hours, costs...
This eliminated previous duplications and enabled the team to manage everything from a single source of truth.
- Built the foundations for a future calculation engine
This is the core of the project: a calculation engine structured in three layers: assembly lines, project costs, and sales.
- Developed a webapp to generate the offers
At this point, we laid the foundation for the future deployment of the app: infrastructure, front-end and integrations.
We also built the complete UI for the first phase.
What we achieved
Alongside the project’s Champion, we built the foundations of a calculation engine validated with real offers and a complete database based on the Excel spreadsheets. The process also served as onboarding for the Champion, who is now prepared to build similar solutions.
Once the app is deployed, this process can go from 40 minutes per offer (a tedious and manual workflow so far) to 2-3 minutes per offer.
The goal of a program like this one is not to deliver a fixed solution, but that the Champions learn to:
- Analyze a business process
- Transform business rules in a logic
- Structure data
- Work with AI tools
Once the project is delivered, the knowledge and the skills remain within the company.
With the assistance of our team, the client solves an operational challenge and, at the same time, develops practical skills for the future. The ‘Learning by Doing’ consulting programs allows to approach an ambitious project or a complex business need without having an advanced technical profile from the beginning.
